Can I start a hail claim while I am traveling outside Texas?

Nothing about reporting a hail loss requires you to stand next to the vehicle. Distance only complicates two things: proving the storm date, and getting the car physically looked at.

The short answer

Yes. Reporting a hail loss is a phone call, app entry or web form, and none of it requires you to be with the vehicle. Tell the carrier plainly that you are out of state and the car is in North Texas, so the inspection is routed to the right place. Confirm the storm date from NOAA and NWS Fort Worth records rather than guessing, and have someone photograph the vehicle. Repair timing is a separate decision from notice.

A DFW hailstorm has a habit of arriving while you are somewhere else. The car is in a driveway in Plano or a garage in Dallas, you are in another state for work or family, and someone texts you a photo of a dimpled hood. The question that follows is almost always the same: does this have to wait until I get back?

It does not. Nothing about an auto insurance claim requires you to be standing next to the vehicle to open it. What distance genuinely changes is how you handle two things — proving the storm and getting the vehicle physically looked at — and both have practical workarounds.

What opening a claim actually requires

Reporting a loss is a phone call, an app entry or a web form. Your insurer needs the policy number, the date and approximate location of the hail event, a description of what was damaged, the vehicle's current location, and a good phone number and email. That is it to start the file. None of those items require your physical presence.

The Texas Department of Insurance advises prompt notice to your insurer after a hail or windstorm event, and most policies contain a notice requirement of their own. Prompt notice does not mean prompt repair — you can open a claim from a hotel room in Ohio and schedule the actual work for the month you are back. The two decisions are separate, and treating them as separate is what keeps an out-of-state claim simple. Our guide on how long you have to file a hail claim in Texas covers the deadlines in detail.

One thing to say clearly on the first call: that you are out of state and the vehicle is in North Texas. Adjusters route inspections geographically. If they think you and the car are in the same place, they will schedule accordingly and you will lose a week untangling it.

Establishing the storm date when you were not there

You are going to be asked when the hail fell. If you were 1,200 miles away, you do not know — but you can find out, and from a distance the public record is more credible than a recollection anyway.

  • NOAA Storm Prediction Center storm reports list severe weather reports by date, including hail, with location and estimated stone size. Find the date whose reports line up with the city the vehicle was parked in.
  • NWS Fort Worth is the National Weather Service office covering the DFW forecast area. Its local storm reports and event summaries are the standard reference for what happened across North Texas on a given evening.

Save the page or a screenshot showing the date, the county and the reported hail size. If two storms passed through in the same week — which is not unusual in a North Texas spring — note both and let the adjuster decide which the damage belongs to rather than guessing.

Getting the vehicle photographed from a distance

Photos are the part that needs a body. Whoever you can send — a neighbor, a family member, a tenant, a coworker — can do it in ten minutes with a phone if you tell them what to shoot. Hail dents are all about light angle, so the instruction that matters most is to shoot low and across the panel, not straight down at it.

  1. Four corners of the vehicle, wide, showing the whole car and where it is parked.
  2. Hood, roof and trunk or bed individually, camera low and to one side so the reflection rakes across the surface and the dents throw shadows.
  3. Every vertical panel — doors, fenders, quarter panels — from the same low angle.
  4. Close-ups of any chipped paint, cracked lamp lens, glass damage, torn trim or damaged mirror.
  5. Odometer, VIN through the windshield, and the plate.
  6. Anything showing the storm: hail on the ground, damaged fencing, stripped landscaping.

Our guide on what to do after hail damage has the same list in a form you can forward to whoever is holding the phone. Photographs taken outdoors will always understate the damage — outdoor light hides a real share of hail dents — but they are enough to open a file and get a verbal quote.

The adjuster inspection is the one to plan around

Carriers differ on whether hail damage is appraised in person or from photographs, and on high-count hail an in-person look is common. If an appraiser is coming out, someone needs to make the vehicle accessible — unlocked gate, keys available, parked where the panels can be seen. You do not personally have to be there, but the inspection does need to happen somewhere the damage can actually be read.

This is a place a shop earns its keep. We meet adjusters at the vehicle, walk the panels with them under proper lighting, and raise the items that photo-based estimates routinely miss — roof damage over reinforcements, dents behind braces, trim and moldings that have to come off to access a panel. If the initial estimate falls short of what the vehicle needs, that is what a supplement is for; our guides on the adjuster inspection and on supplements in hail repair explain both sides of that. To be clear about roles: you file the claim, and we walk alongside you through it.

Common mistakes when the owner is away

  • Waiting to "deal with it in person." Notice is the time-sensitive part; the repair is not. Delay also lets later parking-lot dings blur into the storm damage.
  • Letting someone else authorize work on your behalf informally. The policyholder authorizes the repair. Getting a relative to sign for you creates problems that outlast the dents.
  • Guessing the storm date. A wrong date on the claim form is a correction you will spend a week making. Look it up.
  • Accepting a photo-only estimate as the final number. Outdoor photos consistently undercount hail. The number moves once panels are read under line boards.
  • Hiring the crew that knocked on the door while you were away. Storm-following operations move through DFW neighborhoods after every large event — see our guide on spotting storm-chaser operations.

How the Plano shop handles an out-of-state owner

DentPicks runs one shop, at 1915 N Central Expy #800 in Plano, and no other physical location. For an owner who is not in Texas, the sequence that works is: send photos, get a verbal quote in about 30 minutes, open the claim with your carrier, and let us coordinate the adjuster meeting and the pickup. On insurance-approved hail claims, pickup and delivery across the DFW metroplex is complimentary, so the car can be collected from your driveway without anyone driving it to Plano. Vehicles in Austin move by trailer instead, since there is no shop there.

While the vehicle is with us you get live updates, and the final quality control sign-off — by whoever runs quality control — is visible in your customer portal, which is the part that matters when you cannot walk the panels yourself before delivery. A full-vehicle hail repair typically takes about 5 to 10 business days in the shop, a normal range rather than a promise, and the work carries a written lifetime warranty for as long as you own the vehicle. On many approved hail claims the deductible is waived up to $1,000.

What to do next

From wherever you are: look up the storm date, call your insurer and report the loss, tell them plainly that you are out of state and the vehicle is in North Texas, and get someone to take the photo set. Then decide about repair timing separately, once you know what the vehicle actually needs. If you want a second read on the photos before you talk to your carrier, send them to us — see how our hail repair process works from inspection through delivery.

Frequently asked questions

Does my Texas policy still cover hail if I am out of state when it happens?

The vehicle's location during the storm is what matters, not yours. Hail damage is handled under the comprehensive portion of a Texas auto policy, and where the policyholder happened to be that evening does not change that. Coverage depends on the language of your policy, and your insurer or licensed agent can confirm your specific coverage.

Can a family member open the claim for me?

Generally the policyholder needs to report the loss and authorize repairs. A relative can photograph the vehicle, meet an adjuster, hand over keys and be listed as a local contact, but do not have someone else sign authorizations in your name — call your carrier and ask what they accept.

How do I find the exact storm date if I was not in Texas?

Use the NOAA Storm Prediction Center storm reports, which list hail by date, county and estimated stone size, and the NWS Fort Worth office, which covers the DFW forecast area. Save a screenshot showing the date and county that match where the vehicle was parked.

Is a photo-only estimate good enough for hail?

It is enough to open a file and get a working number, not enough to be the final one. Outdoor photographs consistently undercount hail because ordinary daylight hides shallow dents. The real count comes from reading panels under line boards with the vehicle in a shop, which is why estimates often move once the car arrives.

How accurate are hail maps for showing whether my car was hit?

Treat them as modelled estimates, not measurements. Hail maps interpolate radar signatures and reports across a grid, so they are useful for narrowing candidate dates and areas. The inspection of the vehicle is the evidence — cars a mile apart in the same shaded zone routinely come out with very different damage.

Can I have the car picked up before I get back to Texas?

Yes. On insurance-approved hail claims, pickup and delivery across DFW is complimentary, so the vehicle can be collected from a driveway or lot without you present, as long as someone can release keys. Vehicles in Austin travel by trailer instead, since the shop is in Plano and there is no Austin location.

Will waiting until I am home cost me anything?

Notice is the time-sensitive part; the repair usually is not. The risk in waiting is that later parking-lot dings blur into the storm damage, and that a second storm creates overlapping events an adjuster then has to separate. Report and document now, schedule the work whenever you are back.
