Choosing a Repair Shop

What should I verify when a shop promises a free rental, pickup or delivery?

A rental, a loaner and pickup-and-delivery are three different offers with three different bills attached — and the difference usually surfaces at the counter rather than at the estimate.

The short answer

Ask four things: who is actually paying, for how many days, whether it is a rental, a loaner or pickup-and-delivery, and whether any of it is being billed to the claim. Check your own policy's rental reimbursement limits first — a daily cap that covers a sedan may not cover an SUV. Get the pickup window and service area confirmed in writing, and confirm who covers extra days if a supplement extends the repair.

"Free rental" is the most oversold phrase in collision repair. Sometimes it means the shop hands you a car at no cost. Sometimes it means the shop bills your own rental coverage — the coverage you already pay for — and calls it a gift. And sometimes it means free for five days, after which a counter agent hands you a rate sheet you never agreed to.

The promise is not the problem. The vagueness is. Four questions turn any transportation offer into something you can actually plan around.

The four questions that settle it

  1. Who pays, and out of whose pocket? The shop's own money, your policy's rental coverage, or the at-fault party's carrier? On a hail claim there is no at-fault party, so it is one of the first two.
  2. For how many days, and what happens on day eleven? A repair that runs long should not quietly become your bill. Ask what happens if the shop's own timeline slips versus if a supplement adds work.
  3. Is it a rental, a loaner, or a ride? These are three different things with three different insurance situations, and shops use the words interchangeably.
  4. Is any of it being billed to the claim? Transportation that is charged to the insurer as if it were repair work is a documentation problem, not a perk.
Check your own policy first. Many Texas auto policies include rental reimbursement with a daily cap and a total cap — for example a per-day limit that covers a mid-size car but not an SUV. Knowing your own limits before a shop offers to "handle it" tells you instantly whether the offer is generous or simply describing your own coverage back to you. Your insurer or licensed agent can confirm your specific coverage.

Pickup and delivery is the one most people underrate. If your household has a second vehicle, having the shop collect the car and return it removes the entire rental question — no counter, no deposit hold on your card, no class-limit argument.

It also removes two trips across the Metroplex at rush hour. A Fort Worth-to-Plano drop-off and collection is most of a working day once you account for traffic and the ride home, and people underestimate that cost when comparing shops by price alone.

The details that go wrong

  • Daily cap vs vehicle class. Rental coverage with a modest daily limit will not cover a three-row SUV. The difference lands on your card, per day, and nobody mentions it until the return.
  • Total cap vs repair length. Full-vehicle hail repair typically runs about 5–10 business days in the shop. A coverage total that runs out before the repair does is a common and avoidable surprise — see how long hail repair actually takes to plan the window.
  • Supplements extend the clock. When indoor lighting reveals dents the outdoor estimate missed, the repair grows. That is normal, but it is worth knowing in advance who carries the extra rental days.
  • DFW tolls. Rental toll programs bill a daily service fee on top of the tolls themselves, and around here you will hit a toll road without meaning to. Ask whether you can use your own tag.
  • Deposit holds. A rental counter can place a hold on a debit card that ties up real money for days.
  • Fuel and mileage on loaners. Loaner agreements often carry mileage caps that a Fort Worth-to-Frisco commute eats through quickly.
  • Service-area edges. "We cover the Metroplex" and "we cover your part of the Metroplex" are not the same sentence. Confirm your address specifically.

How it works at DentPicks

Pickup and delivery is complimentary across DFW on insurance-approved hail claims. We collect the vehicle from your home or workplace, bring it to the Plano shop, and return it when the repair is signed off — with a mini exterior detail before it comes back to you. That covers the Dallas and Fort Worth sides alike, including Frisco, McKinney, Irving, Arlington, Garland and the suburbs in between. Practically, that means a driver rather than a rental counter: we agree a window, collect the car from your driveway or your office lot, and hand it back at the same place when quality control has signed it off.

Two honest limits. First, complimentary transportation applies to insurance-approved hail claims — a small retail dent repair is a drop-off job, not a logistics operation. Second, Austin is different: we have no shop there, so Austin is trailer pickup and delivery. The vehicle is transported to Plano and back on a trailer, and if you need a car in the meantime, that runs through your own rental coverage with a provider such as Enterprise rather than through us.

While the car is with us, progress shows in your customer portal with live updates, and the final quality-control sign-off is recorded there by whoever runs quality control — panels read under reflection lighting, one at a time, before the vehicle is released for delivery. Typical full-vehicle hail work is about 5–10 business days in the shop, which is the number to plan your transportation around.

Red flags in a transportation promise

  • "Free rental" with no day count attached. Ask for the number and what happens after it.
  • An offer that depends on you signing the authorization today. Transportation is logistics, not a limited-time rate.
  • A rental billed to the claim as a repair line item. Rental reimbursement is its own coverage, if you have it; it does not belong inside a hail estimate.
  • No written confirmation of the pickup window or the return condition.
  • A loaner handed over with no explanation of what insures it. Ask before you drive off the lot, not after something happens.
  • A shop offering a rental it cannot fund. Post-storm operations promise transportation freely in week one and stop answering the phone in week four — the pattern is covered in our guide on storm-chaser repair operations.
  • Vague service-area language. Get your specific address confirmed.

Before the car goes

Whether you drop the car off or hand it to a driver, a few minutes of preparation prevents most of the small annoyances that follow.

  • Take the toll tag if you want it, or leave it and confirm who covers tolls on the transport leg.
  • Clear personal items, garage remotes and anything in the trunk you would miss.
  • Photograph the vehicle, including wheels and interior, on the day it leaves.
  • Leave one key, and confirm whether a second is needed for vehicles with proximity systems.
  • Note your mileage.

Our guide on preparing for a PDR appointment goes through the rest, including what to expect when the car comes back.

What to do next

Call your insurer or agent and ask two questions: do I have rental reimbursement, and what are the daily and total limits? Then ask the shop the four questions at the top of this page and get the answers in a text or an email. Those two conversations take fifteen minutes and remove nearly every transportation surprise that shows up in the middle of a hail repair.

If you are in DFW with an approved hail claim, we can collect the vehicle and bring it back detailed at no charge — you can see the standard of finished work in our gallery, read how the hail repair process runs end to end, or send photos and get a quote first — usually verbal, and usually within about 30 minutes.

Frequently asked questions

Does my insurance pay for a rental during hail repair?

Only if you carry rental reimbursement, and it normally has both a daily cap and a total cap. Hail is a comprehensive claim with no at-fault party, so there is no other carrier to bill. Coverage depends on the language of your policy — your insurer or licensed agent can confirm yours.

Who pays if the repair takes longer than my rental coverage lasts?

That is the question to settle before the car goes in. Ask the shop what happens if its own timeline slips versus if a supplement adds work, and get the answer in a text or an email. Full-vehicle hail repair typically runs about 5–10 business days in the shop.

Is a loaner car insured by the shop or by me?

It varies by agreement, and it is worth asking before you drive off rather than after. Some loaner contracts rely on your own liability coverage extending to a substitute vehicle; others carry the shop's coverage with specific limits. Read the mileage and fuel terms at the same time.

Does DentPicks offer pickup and delivery outside Plano?

Yes — complimentary across DFW on insurance-approved hail claims, from Dallas and Fort Worth through the northern suburbs. The car comes back with a mini exterior detail. Confirm your specific address when booking, since service-area edges matter more than the phrase "the Metroplex" suggests.

How does it work if I'm in Austin?

Austin is trailer pickup and delivery. There is no DentPicks shop there, so the vehicle is transported to Plano and back on a trailer. If you need a car meanwhile, that runs through your own rental coverage with a provider such as Enterprise rather than through us.

Should a rental appear on the repair estimate?

No. Rental reimbursement is its own coverage under your policy. Transportation billed to the insurer inside a hail repair estimate is a documentation problem, not a perk, and it is the kind of line item that gets a supplement denied later.

What should I do with my toll tag before drop-off?

Take it, or confirm who covers tolls on the transport leg. Rental companies charge a daily service fee on top of the tolls themselves, and in DFW you will cross a toll road without planning to.

Repair, cost and timing statements that are not tied to a listed source come from DentPicks' own quoting and repair history at the Plano, TX shop. They are typical ranges and shop-floor observations, not industry statistics or promises — your vehicle, its condition, your policy language and your insurer determine your specific outcome.
